Getting started

Click the + New Applicant button in the top-right corner of your dashboard (or the sidebar). You'll be asked to enter the applicant's name and email address.

Once created, you can either:

  • Send an invite — Approvee emails the applicant a secure portal link where they upload their documents directly.
  • Upload documents yourself — drag and drop files directly onto the applicant's profile.

Tip: Use portal links whenever possible. They reduce back-and-forth and give applicants a guided upload experience.

For the best screening result, applicants should provide:

  1. Photo ID — driver's license, passport, or government-issued ID
  2. Proof of income — last 2-3 pay stubs, bank statements, or an offer letter
  3. Bank statements (optional but recommended) — last 2-3 months

Approvee extracts information automatically from each document. The more complete the submission, the richer the screening report.

A portal link is a unique, secure URL you send to an applicant. When they open it, they see a simple upload page tailored to your brokerage — no account required on their end.

To generate one, open an applicant's profile and click Generate Portal Link. You can copy the link and send it via email, text, or any messaging platform.

Once the applicant uploads their documents, you'll see them appear in real time on their profile. You can also set up email notifications to alert you when documents arrive.

Tip: You can customize the portal link with a property address so applicants know exactly which application they're completing.

Once an applicant has uploaded at least one document, click the Screen Applicant button on their profile. Approvee's AI will process the documents and generate a full screening report, typically in under 60 seconds.

The report includes income verification, identity check, credit context, and a plain-language summary you can share with ownership.

Screening reports

Every screening report includes:

  • Income verification — extracted monthly and annual income, rent-to-income ratio
  • Identity check — name match between ID and other documents, flags for inconsistencies
  • Credit context — a plain-language credit summary (where available)
  • Document summary — what was submitted and what was extracted from each file
  • Overall assessment — a written summary you can share with landlords or ownership

Approvee's AI reads pay stubs, bank statements, and offer letters to extract income figures automatically. It checks for consistency across documents — for example, whether the pay stub amounts match the bank deposits.

The report shows gross monthly income, annualized income, and calculates the rent-to-income ratio based on the rent amount you specify on the applicant's profile.

Tip: The standard qualifying threshold is 40x monthly rent in annual income. Approvee flags applicants who don't meet this threshold automatically.

Approvee extracts the name, date of birth, and ID number from the applicant's government-issued ID, then cross-references those details against their other submitted documents (pay stubs, bank statements, etc.).

If there are discrepancies — for example, a different name spelling or an address that doesn't match — the report will flag them for your review.

Approvee does not perform biometric verification or DMV database lookups. It is an AI-assisted document review tool, and your team makes the final determination.

Yes. On the applicant's screening report, click Print Summary to generate a print-ready PDF. This is formatted for sharing with landlords or ownership and includes all key findings.

The PDF does not include raw document scans — only the extracted information and the AI-generated summary.

On the applicant's profile, use the Approve or Decline buttons to record your decision. You'll be prompted to add a reason, which is saved to the audit log.

Approved applicants become eligible for DocuSign lease generation (if your account has DocuSign connected). All decisions are timestamped and stored for compliance purposes.

Team & account

Go to Settings in the sidebar, then select the Team tab. Enter your teammate's email address and click Send Invite.

They'll receive an email with a link to create their account. Once they join, they'll be added to your organization and can access the shared applicant pipeline.

Tip: The number of team members you can invite depends on your plan. Check Settings to see your current seat count.

By default, all members of your organization share the same applicant pipeline. Admins can see and manage all applicants. Standard agents see all applicants as well, but only admins can manage team settings and billing.

If you need more granular access controls, contact support — property-level permissions are available on the Team plan.

Go to Settings in the sidebar and select the Account tab. From there you can update your name, email, and password.

If you've forgotten your password, use the Forgot password link on the sign-in page. A reset link will be sent to your email within a few minutes.

DocuSign

Go to Settings in the sidebar and select the Integrations tab. Click Connect DocuSign and you'll be redirected to DocuSign to authorize the connection.

Once connected, a Generate Lease button will appear on approved applicants' profiles.

Tip: You'll need a DocuSign account to use this feature. DocuSign offers a free trial if you don't have one yet.

After approving an applicant, click Generate Lease on their profile. Approvee will pre-fill the lease template with the applicant's verified information and send it to DocuSign.

All parties will receive an email from DocuSign with a link to review and sign. You can track signature status directly on the applicant's profile — Approvee shows who has signed and who is still pending.

Completed leases are stored in your DocuSign account and can be accessed directly from there. Approvee displays the current signing status on the applicant's profile, but the final signed document lives in DocuSign.

DocuSign sends all signers a copy of the completed lease via email automatically when all parties have signed.

Billing
  • Solo — $19/month: 1 user, unlimited applicants, portal links, email support
  • Starter — $49/month: Up to 3 users, everything in Solo, plus DocuSign integration and priority support
  • Team — $149/month: Up to 10 users, everything in Starter, plus custom branding and a dedicated account manager

All plans include the full AI screening report feature and unlimited applicants.

Go to Settings in the sidebar, then select the Billing tab. Click Manage Subscription to upgrade, downgrade, or update your payment method through our secure billing portal.

Plan changes take effect immediately. If you upgrade mid-cycle, you'll be charged a prorated amount for the remainder of the billing period.

Go to Settings → Billing → Manage Subscription and select Cancel plan. Your account will remain active through the end of your current billing period.

If you cancel, your data is retained for 90 days. Contact support if you need to export your data before it's removed.

Troubleshooting

Ask the applicant to check their spam or junk folder first — invite emails occasionally get filtered.

If they still can't find it, open the applicant's profile and click Resend Invite (or copy the portal link manually and send it to them directly via text or another email).

If the email address was entered incorrectly, you can update it on the applicant's profile and resend.

Most screening reports complete in under 60 seconds. If yours is taking longer, it may be due to:

  • Large or complex document files (high-resolution scans)
  • Unusual document formats that require extra processing
  • Temporary high demand on our servers

If the report hasn't completed after 5 minutes, try refreshing the page. If it still shows as processing, contact support and include the applicant's name — we can investigate directly.

On the applicant's profile, hover over the document and click the remove icon to delete it. Then re-upload the correct file.

If a screening report was already generated using the wrong document, click Re-screen after uploading the correct file to generate a fresh report.

Try these steps in order:

  1. Double-check that you're using the correct email address
  2. Use Forgot password on the sign-in page to reset your password
  3. Clear your browser cache and try again, or try a different browser
  4. If none of these work, email [email protected] and include your account email — we'll get you back in
